Purpose. Department leads use this template to plan and record the monthly toolbox talk for their area, including attendance, topics, questions raised and actions.
1.Purpose of toolbox talks
Toolbox talks are short structured conversations with the team about a safety or quality topic. They are part of the consultation required by the Occupational Health and Safety Policy and are recorded as evidence of training. A talk runs for 10 to 20 minutes at the start of a shift.
2.Preparing
Choose a topic from the annual toolbox calendar, a recent incident, a new chemical or machine, or a hazard raised by the team. Read the relevant procedure and safety data sheet before the talk. Prepare two or three questions to check understanding.
3.Running the talk
State the topic and why it matters now. Walk through the key points using the equipment or product in front of the team where possible. Ask the team what makes the task difficult and what would make it safer. Record every question and concern raised.
4.Recording
List every attendee by name and have them sign. Record the key points covered, questions raised and any actions agreed with an owner and a due date. File the record with the Quality and WHS Coordinator within two working days and update the training matrix.
5.Follow-up
Actions from a toolbox talk are tracked in the WHS Incident and Hazard Register as hazard entries where they relate to a physical hazard, and otherwise on the department action list. Report progress at the next talk.
